JOB DESCRIPTION
POSITION: Donor Relations Coordinator
CLASSIFICATION: Exempt/Full-Time
REPORTING TO: Advancement Director
Position Summary
Reporting to the Advancement Director, the Donor Relations Coordinator assists the Director in the development and coordination of individual and corporate relationships with the Foundation. The Coordinator supports the Director in donor prospect research and acquisition strategies and maintains the donor relationship management database. The Coordinator also processes incoming gifts and assists with individual donor stewardship. The Coordinator assists in organizing special events and related expense tracking and preparation of the Annual Advancement Report.

- Conduct research on donor prospects and other acquisition strategies to expand individual donor base nationally.
- Maintain donor relationship management database (CRM), including updating donor reports, compiling biographical and demographic information, data entry and pulling reports.
- Process incoming gifts and ensure gifts are accurately recorded and thanked i.e. acknowledgement letters.
- Assist with individual donor stewardship including acknowledgement letters, thank you cards, donor appreciation gifts and other communications via phone and email.
- Analyze donor giving patterns to increase donor retention, upgrading and conversion rates.
- Coordinate donor mailings, including direct mail appeals, donor newsletters, holiday cards, etc.
- Assist with Special Events logistics coordination and expense tracking.
- Track pledges and monthly gifts to ensure on-time payment.
- Assist with preparation of Annual Report and other reports to internal staff as needed.

- Knowledge of donor development and corporate giving.
- Ability to maintain accurate records, manage many details proficiently, and converse easily in person or by telephone with donors and donor prospects.
- Strong organizational skills that reflect in the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, external partners and donors.
- Expert level written and verbal communication skills.
- Highly resourceful team-player with the ability to also be effective independently.
- Ability to organize and meet deadlines for a wide variety of job assignments simultaneously, with minimum supervision.
- Ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
- Ability to achieve high performance goals and meet deadlines in a fast-paced environment.
- Knowledge of Social Media such as Instagram, Facebook, Twitter, and YouTube in research of donor prospects and donor acquisition strategies.
- Knowledge of fundraising in nonprofit organizations.
- Strong computer skills in MS Office Suite Excel and PowerPoint.
- Knowledge and experience in working with American Indian communities.
Supervisory Responsibility: None
Work Environment
Work is generally performed in an office setting with moderate noise levels. Evening and/or weekend work may be required. There is frequent interaction with the public, program participants, donors and employees. Tight time constraints and multiple demands from several people are common. Work at special events may be out-of-doors with exposure to weather elements of all seasons.
Physical Demands
While performing the duties of this job, the employee is regularly required to sit, use arms/hands/fingers, talk, hear, and walk. The employee is occasionally required to stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Due to the nature of work and goals of the Foundation, the employee may be required to maintain a minimum physical condition and comply with predetermined fitness standards.

Required Education and Experience
- Bachelor’s Degree
- 1-2 years’ experience in the nonprofit field
- Proficient n Microsoft Office (Outlook, Word, Excel and PowerPoint)
- Excellent communication skills
- Able to multi-task and meet deadlines
- Comfortable working independently and with a team
- Commitment to the mission of the NB3 Foundation
Preferred Education and Experience
- Bachelor’s degree in marketing, communication or English
- Experience with constituent relationship management (CRM) database such as Virtuous
- 1-2 years’ experience in nonprofit fundraising
Licenses/Certifications Required: None. If job assignment requires driving a personal or Agency vehicle on Agency-related business, incumbent must have and maintain a current New Mexico driver’s license, must have and maintain an Agency-insurable driving record, and must provide proof of current liability insurance meeting or exceeding State-required minimums.
